Ordering Uniforms for Multiple Teams, A Guide for Athletic Directors

How to run a multiple sport, multi-level uniform program, consolidated ordering, design systems, budget cycles, sizing logistics and reorder planning.

Outfitting one team is a purchase. Outfitting eight teams across three sports and four levels is a program. The difference is planning, and the payoff is a consistent look and a much lower cost per piece.

Consolidate the order, not the design

The biggest saving available to any athletic department is combining orders. Separate purchases of 15, 18 and 22 jerseys land in three different price tiers. One 55-piece order lands in the lowest one. Sublimation lets every team keep its own colors and details at no extra cost, so consolidating does not mean compromising.

    Our tiers: list price (1–10), 5% off (11–20), 10% off (21–50), 15% off (51+), applied to every item's 2026 price.

    Build a design system

    Define once, apply everywhere:

    • Primary and secondary PMS colors for the whole school.
    • One number font used across every sport.
    • One logo lockup with fixed proportions.
    • A rule for level differentiation, for example, varsity in the dark primary, JV in white, feeder programs in the secondary.

Then each sport's kit is a variation, not a new project. New coaches inherit a standard instead of inventing one.

    Sizing logistics

The part that delays orders most often is size collection, not production.

    • Run a sizing kit session at the start of the planning window and record sizes on a single shared roster sheet.
    • Order spares, 10% extra in the middle sizes covers roster changes, late arrivals and damage.
    • Keep a across the program size record so next year's order starts from data, not guesswork.

    Budget and replacement cycles

Stagger sports so the department is not funding everything in one year:

    YearOrdered
1Football game kits, basketball game kits
    2Baseball/softball kits, all practice gear
3Sideline outerwear and warmup gear, refresh spares
    4Back to year 1

A three to four-year game-jersey cycle is realistic with sublimated garments and a written care routine.

    Timeline

Delivery takes 14 to 21 days including shipping after artwork approval. Add time for design revisions, board approval and size collection, and work back from your first contest date:

    • 10 weeks out, confirm budget and sports included
    • 8 weeks out, artwork and mockups
    • 6 weeks out, sizes collected, order placed
    • 3 weeks out, delivery
    • 2 weeks out, distribution and spares check

    Compliance in one pass

Have every design checked against your state association's uniform rules, number height, contrast, digit restrictions, before any of it goes to production. Doing it once for the whole department is far cheaper than discovering a problem sport by sport.
